Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. The Village Board also meets in special sessions from time to time. However, dates and times of Special Meetings can vary and may change.

Overview

The Fleet Services Division of the Department of Public Works is responsible for maintaining the Village’s fleet of vehicles that all are equipped with various types of emergency/warning lighting.  This item provides for the purchase of these materials.

Fiscal Impact

In the FY 2016 budget, funds for emergency/warning lighting materials are allocated in the Fleet Replacement Fund as part of the vehicle purchases.

The cost for emergency equipment supplies for purchase from Fleet Safety Supply shall not exceed $60,000.00 from the various Fleet Replacement Fund and RICO accounts.

 

Background

Three vendors were provided bids for these materials in 2016.  The materials are purchased from the lowest qualified vendor. Based on the bid summary and the estimate of equipment and materials needed, staff anticipates spending up to a combined amount of $60,000.00 on materials between Fleet Safety Supply and other vendors.

 

It is anticipated to spend approximately $55,000.00 with Fleet Safety Supply therefore Village Board approval is required to enter into the purchase price agreement.

The Board can delay action to gain additional information.

 

Previous Board Action

The Village Board approved the purchase price agreement with Fleet Safety Supply for materials for emergency equipment in 2015.

Anticipated Future Actions/Commitments

It is anticipated that the Department of Public Works will be bringing these agreements to the Village Board annually.

The Village is the only Oak Park agency within the community that utilizes these materials.
