Overview

This item is for the installation of soundproofing materials.  This work is being done as part of the Village Hall Furniture Improvement project and will provide the necessary space for confidentiality.

Fiscal Impact

The FY 2017 Capital Improvement Building Improvement Fund Budget provides a total of $150,000.00 in account no. 3012-43790-101-540673 for Village Hall Physical Improvements.

 

If approved, the project cost would not exceed $12,000.00 (the proposal cost of $11,640.00 plus $360.00 for unforeseen conditions and/or VOP desired changes).

 

It was determined that this project was considered a “Public Improvement” per the Board Adopted Purchasing Policy and since the project exceeds $10,001.00 it requires Village Board approval.  A Public Improvement is defined as any project that is constructed for a public benefit that either enhances or improves an existing public asset.

 

Background

The scope of work includes the construction of a new soundproof wall above the existing ceiling tile grid between the two offices. 

 

Staff solicited bids from local soundproofing companies and only two bids were received:

 

                     Soundproof of Chicago                     $10,151.00

                     Chicagoland Renovations                     $11,640.00

 

Although the Chicagoland Renovations bid is slightly higher than the Soundproof Chicago bid, staff recommends approval of the Chicagoland Renovations bid since their understanding of the project and the scope of work appeared to be far greater than that of Soundproof Chicago.  Staff met with the owner of Chicagoland Renovations at Village Hall to inspect existing conditions and discuss the desired scope of work and the approach submitted by Chicagoland Renovations precisely meets the needs of the Village. 

 

The Soundproof Chicago proposal did not include or address the space above the ceiling tile grid.  Their scope of work only included the application of a soundproofing material on the existing drywall.

 

This new wall will extend up to the very top of the space and completely seal off the two adjoining offices.  The existing drywall will then receive a new soundproofing material that will look like new drywall.  It will match the color of the drywall being replaced.  Some mechanical ductwork will also be relocated in order to maintain a tight seal with no gaps for sound to travel through. 

 

Alternatives

The Board can delay action to gain additional information.
