Recommendation

Adopt the Resolution.

Background

Fire Department personnel have a list of clothing/uniform items they order, as needed and approved, during the fiscal year. These items are ordered intermittently as the year progresses, and the total amount spent with this vendor will exceed $25,000, requiring Board approval.

Bids were requested for this work and posted on the Village Web Site in 2022. A total of 2 bids were received. After reviewing the proposals, staff finds it most advantageous to enter into an agreement with On-Time Embroidery. On-Time presented with the most complete bid with the lowest prices overall. The Fire Department has chosen to extend the existing contract through 2023, as provided in section 4.1 of the Professional Services Agreement.

We have a positive history of working with this company over the last several years. They have consistently provided us with the lowest overall per-item costs and excellent customer service. They also provide us with consistent quality items, which allows us to maintain our uniform standards. They have a brick-and-mortar sizing center and an online store customized for the OPFD with individual log-ins for ease of use.
