Overview

The Department of Public Works requested a proposal from Anchor Mechanical to complete selected improvements to the new Village Hall chiller plant.  Staff reviewed the proposal and the response from Anchor Mechanical, Inc. fits the needs of the Village at a reasonable price.

Fiscal Impact

The FY 2015 Building Improvement Fund, account no. 3012-43790-101-540673, provides $75,000.00 for this work.

 

The revised amount to be paid to the Contractor for this project shall be revised from $444,750.00 and shall not exceed $509,945.00 during the term of this Agreement.

 

Background

In May of 2015, Anchor Mechanical successfully completed the installation of the new chiller plant at Village Hall.  The Request for Proposals (RFP) for this project was issued by the Village in early 2014 and included a list of alternates related to system enhancement/improvement.  The Village accepted some of those alternates and deferred the remaining items until funding was secured as part of the FY2015 budget.  Since then, staff identified additional items that are needed which would improve the functionality of the new chiller plant as well as the entire Village Hall HVAC system.  These items are outlined in the Anchor proposal. 

 

Alternatives

The Board can delay action to gain additional information.

 

Previous Board Action

The Board approved a contract with Anchor Mechanical in September of 2014 to install the new chiller plant at Village Hall. The 2015 phase of this project involves improvements to the chiller plant that were not previously approved. 

 

Citizen Advisory Commission Action

N/A.

 

Anticipated Future Actions/Commitments

Regular maintenance of the new Village Hall chiller plant is necessary to keep the facility in good working order.  This maintenance will reduce future major expenses.  Contracts such as this will be brought forth to the Village Board as required.
