Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. The Village Board also meets in special sessions from time to time. However, dates and times of Special Meetings can vary and may change.

Overview

The Village is responsible for maintaining approximately 250 lane miles which includes the sweeping of main arterials and residential streets as well as the twelve separate Business District areas.  Bids were received for these services for a one year period, 2016-2017.

Fiscal Impact

In the FY 2016 Street Services budget, there is $120,000.00 to perform street sweeping services in the General Contractuals account no., 1001-43740-761-530660.  Proposed in the FY 2017 budget will be $130,000.00 for these services.  The FY 2016 budget provides sufficient funds for this work.

 

Background

Competitive bids were opened on July 13, 2016 in response to a call for bids for 2016-2017 Village Wide Street Sweeping Services.  The bid was advertised in the local paper and seven bid packages were sent out to contractors.  Four bids were received.  The low responsible bid was submitted by Waste Management, Inc.  The bid summary is attached.

 

Waste Management has been providing the Village Wide Street Sweeping for the Village for the last three years and has performed the work satisfactorily.  They have a long history of municipal work.

The Board can delay action to gain additional information.

The Village Board has approved this contractor for this work since 2013.

Anticipated Future Actions/Commitments

It is anticipated that the Department of Public Works will be bringing this contract to the Village Board annually for consideration.

To date, no local intergovernmental programs have been established to jointly bid out this work.
