Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. On February 12, 2018 the Village entered into an independent contractor agreement with South West Industries, Inc. d/b/a Anderson Elevator Co. for elevator maintenance and repair services for the Public Works and Parking Departments at Village Hall, Public Works Center, Dole Learning Center, Holley Court Parking Garage, Avenue Parking Garage and OPRF/North Scoville Ave. Parking Garage for 2018.  This Renewal of the Independent Contractor Agreement pursuant to Section 4 of the original agreement will continue this service  for an additional one (1) year period ending December 31, 2019 in an amount not to exceed $1,475.00 per month plus a total of $12,255.00 contingency for unforeseen conditions/repairs needed for a total annual cost of $29,255.00 for 2019.

Background

The Public Works and Parking Departments operate elevators at Village Hall, Public Works Center, Dole Learning Center, Holley Court Parking Garage, Avenue Parking Garage and OPRF/North Scoville Ave. Parking Garage.  Village Hall has one (1) elevator.  Public Works Center has one (1) elevator.  Dole Learning Center has one (1) elevator.  Holley Court Parking Garage has three (3) elevators. Avenue Parking Garage has two (2) elevators.  OPRF/North Scoville Ave Parking Garage has one (1) elevators.  In total, nine (9) elevators are operated at Village facilities.

 

The Village originally selected South West Industies Inc., d/b/a Anderson Elevator Co. in 2018 after receiving three quotes for elevator maintenance and repair services for all VOP-owned elevators at Village Hall, Public Works Center, Dole Center and the parking garages and signed an Independent Contractors Agreement with Anderson Elevator Co. in 2018.  The original agreement was under the threshold required for board approval as is the Renewal of the agreement; however, since the original agreement the Village has entered into another agreement with South West Industies Inc., d/b/a Anderson Elevator Co. dated September 6, 2018.  This agreement is to complete the cleaning and modernization of elevators at the Holley Court, Avenue, and OPRF/North Scoville Ave Parking Structures, in an Amount not to Exceed $170,000 in 2018 and 2019.

 

Alternatives

The alternative would be to not renew the agreement and receive new quotes for the 2019 elevator maintenance program.

 

Previous Board Action

On September 4, 2018 the Village Board approved a Resolution for an agreement in an amount not to exceed $170,000 for cleaning and modernization of the elevators in the parking garages.

 

On October 1, 2018, the Village Board approved a Resolution to amend the scope of work on the agreement in an amount not to exceed $170,000 approved at the September 4, 2018 Village Board meeting.
