Overview

Overview

The Village of Oak Park’s current Network Video Recorders (NVRs) for the facility security system have reached their end of life. The Information Technology (IT) department requests that the Village Board approve and authorize an agreement with AKA Comp Solutions to acquire three R760XD2 NVRs in the amount of $63,161.40.

Recommendation

Recommendation

Adopt the Resolution.

Background

The NVRs provide video and door access security for all Village facilities. The existing eight (8) NVRs acquired in 2017 have reached their end of life and no longer comply with technology security standards. This project consolidates service to three (3) servers and provides efficiency, reduces power-consuming hardware, and complies with security standards.

The IT department prepared and posted a bid for three (3) R760XD2 NVRs in the Wednesday Journal and on the DemandStar and the Village websites. Ten (10) vendors responded to the bid.

AKA Comp Solutions submitted the lowest bid that met the Village’s requirements.

Fiscal Impact

The winning bid is within the anticipated project budget and the fiscal year 2024 (FY24) Equipment Replacement Fund (3029.41300.884.570720) has appropriate funds. No additional funds or budget amendments are required for this $63,161.40 expense in FY24.

DEI Impact

The existing legacy system includes five (5) more power-consuming hardware units than the proposed new acquisition. The purchase of the three (3) new NVRs replaces outdated, power-consuming equipment and improves energy efficiency, supporting Board goals for sustainability and fiscal responsibility.

Alternatives

The Board may delay action to obtain additional information.

The Board may choose not to adopt the Resolution, in which case staff will evaluate how to mitigate security risk and out-of-warranty equipment failure.

Previous Board Action

The Board approved an independent contractor agreement with Pentegra Systems, LLC for the Village’s video security and access control project on January 17, 2017, under Resolution 17-440 for a total amount of $815,000.00.
