Overview
In January of 2016 the Village signed an agreement with Altamanu, Inc. for professional landscape consulting services. It is proposed to increase the original “not to exceed” amount for the contract from $20,000.00 to $30,000.00. The consultant is working on another project for the Village and the additional services will extend beyond the original intent of the agreement.

Fiscal Impact
The FY 2016 Capital Fund, Engineering Budget, account number 3095-43780-101-570963, Landscape Improvements, provides $100,000.00 for this work.
Background
The Village has contracted with Altamanu, Inc. to provide landscaping consulting services since 2005. The staff at Altamanu, Inc. has assisted the Village in the design of raised landscape planters found throughout the Village and its business districts. In addition, they have helped oversee the installation and maintenance of the plant material by the contractor. They have done an excellent job and are a great partner. Altamanu was again asked to provide a proposal for these services in 2016
In addition to their normal work load, Altamanu was asked to consult on the Kenilworth median improvements this year. They have been helping facilitate resident meetings and overall design and scope for the project. This additional work is beyond the original intent of the agreement, but necessary. It is now clear that additional work on the projects they are working for the Village will exceed the original not to exceed amount, although that is not the case at this time. They are doing this additional work at their quoted rates and costs.
It is proposed that funds be allocated to cover possible additional consulting costs beyond the original contract amount. Funds will be re-directed from the Landcape Imrpovement CIP account to adjust the “Not to Exceed” amount with Altamanu by $10,000.00 to a new total amount of $30,000.00.

The Board can delay action to gain additional information.
Previous Board Action
Funding for the project was approved by the board as part of the FY2016 Budget and an agreement was approved by the Village Manger in January of 2016.

It is anticipated that the Department of Public Works will be bringing landscape consulting agreements to the Village Board annually for consideration.
