Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. The Village Board also meets in special sessions from time to time. However, dates and times of Special Meetings can vary and may change.

Overview

The Water and Sewer Division of the Department of Public Works is responsible for maintaining the water distribution and sewer collection systems in the Village.  The department annually seeks competitive bids for water main parts and materials and sewer pipe parts and materials.

Fiscal Impact

The FY2017 Water and Sewer Fund Budget allocates funds for materials and supplies for the operation and maintenance of the sewer collection and water distribution systems in the Operational Supplies account, numbers 5040-43750-781-560631 ($25,000.00) and 5040-43730-777-560631 ($100,000.00).

 

Background

Three vendors provided material price bids for 2017.  The materials are purchased from the lowest qualified vendor based on the availability and quality of the material.  Staff is bringing forward only the bid from the vendor that could exceed $25,000.00.  Based on the bid summary and the estimate of materials needed, staff anticipates spending up to an amount of $75,000.00 with HD Supply Waterworks, Ltd. It is anticipated to spend less than $25,000.00 with the other vendors.

The Board can delay action to gain additional information.

 

Previous Board Action

The Village Board approved the purchase price agreement with HD Supply for materials for installation and repair of water mains, fire hydrants and water services, in 2016.

Anticipated Future Actions/Commitments

It is anticipated that the Department of Public Works will be bringing this agreement to the Village Board annually.

The Village is the only Oak Park agency within the community that utilizes these materials.
