Overview
The Village entered into an agreement with Davis Tree Care and Landscape, Inc. for tree pruning services in Fiscal Year 2018. The amendment to the existing agreement would allow for additional parkway tree pruning by this contractor. Funds for this additional work will come from a reduction in the agreement with Davis for tree removal.

Fiscal Impact
The adopted FY 2018 Forestry budget includes $600,000.00 for parkway tree cycle pruning and removal within the Tree Maintenance External Support line item (1001-43800-741-530667). $390,000.00 of that funding has been allocated to Davis Tree Care between the two contracts.
The Contract amendment would increase the pruning contract from $200,000.00 to 220,000.00. Village staff will reduce Davis’s Tree Removal PO amount down $20,000.00 from $190,000.00 to $170,000.00 to accomodate this amendment.
Background
The Village Board approved two Independent Contractor agreement with Davis Tree Care and Landscape Inc. at the November 20, 2017 Board Meeting for Parkway Tree Pruning and Parkway Tree Removal. The Parkway Tree Pruning work typically includes pruning trees over 6” diameter within a specific section of the Village. The work typically occurs during the winter months of the fiscal year.
Davis has done an excellent job this year. Based on the quality and pace of their work the opportunity to have them prune parkway trees under 6” has arisen. The cost for some of this work is covered under the existing Not To Exceed amount. To cover the cost for all this work and provide a funds for unforeseen pruning work that may occur during the year, Village staff is requesting the not to exceed amount of the contract be increased by $20,000.00.
The funds to cover this amendment will come for Davis Tree Care’s other contract with the Village. The purchase order for their Parkway Tree Removal contract will be reduced to unencumber the funds for the amendment.

The Board can delay action to gain additional information.

The Village Board approved the Independent Contractor Agreement for Parkway Tree Pruning Contract with Dave Tree Care and Landscape at the November 20, 2017 board meeting.

It is anticipated that the Department of Public Works will be bringing this agreement to the Village Board annually.
