Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. The Village Board also meets in special sessions from time to time. However, dates and times of Special Meetings can vary and may change.

Overview

The main fire station, located at 100 N. Euclid, has a total of six overhead doors (four on the west side and two on the east side) that are in poor condition and in need of replacement.  Additionally, the main entrance doorway is original to the building and is also in need of replacement due to a warped frame and weather-damaged wood.

Fiscal Impact

The FY 2018 Capital Improvement Program, Building Improvement Fund, account no. 3012-43790-101-540673 provides $50,000.00 for the replacement of the overhead doors and main entrance door at the main fire station.  No funds have been used from this line item for this work as of this date.

 

The agreement with Door Systems will include the base bid ($29,876.00) and alt. no.1 for adding secondary entrapment protection ($2,700.00) for a total amount of $32,576.00.  The not to exceed amount of $34,205.00 includes a 5% contingency in the event of unforeseen work required.  The contingency will not be used unless there is a need for a change order.  The 5% is in accordance with the purchase policy regarding change orders.

 

Background

This project involves replacing the overhead doors at the main fire station.  The project also includes replacement of the main entrance door.  This work was planned for in the 2018 Capital Improvements program budget.

 

Staff issued a Request for Bids (RFB) on March 14, 2018 to replace all six overhead doors and one main entrance door at the main fire station, located at 100 N. Euclid.  The RFB was advertised in the Wednesday Journal and on the Village web site.  A total of six different contractors attended a pre-bid meeting at the main fire station on Wednesday, March 21, 2018 at 10:30 a.m.  A total of six bids were received as shown on the attached bid summary. 

 

Door Systems, Inc. submitted the most favorable bid and staff recommends that the Village approve an Independent Contractor Agreement with Door Systems, Inc. for this project.  Door Systems, Inc. installed a new high-speed overhead door at the Public Works Center several years ago and performed very well during that project.

The Board can delay action to gain additional information.

It is anticipated that the Public Works Department will seek bids for future Capital Projects all three fire stations in subsequent years.
