Overview

The Village entered into an agreement with Meade, Inc. for Emergency Street Lighting and Traffic Control Repairs for FY2019.  The expenses resulting in damage to street lighting and traffic signals from traffic accidents has surpassed the amount of funds currently in the agreement.  This Resolution will allow for paying an outstanding invoice to Meade, Inc. for emergency work plus cover any unforeseen accidents for the rest of 2019.

Fiscal Impact

The FY2019 budget provides $55,000.00 for Emergency Street Lighting and Traffic Signal Repairs in the Street lighting Budget, General Contractuals, accounts no. 1001-43720-751-530660 ($45,000.00) for street lighting repairs, and 1001-43720-752-530660 ($10,000.00) for traffic signal repairs.

 

Currently there is $23,374.26 of unencumbered funds in the street lighting account and $5,254.26 in the traffic signal account, most of which was obtained from recovered damages from traffic accidents.

 

The amendment would increase Meade’s agreement from $25,000.00 to $39,000.00.

 

Background

The Village approved an Independent Contractor Agreement with Meade, Inc. on March 4, 2019 in the amount of $25,000.00 for Emergency Street Lighting and Traffic Control Repairs.  There have been a number of traffic accidents that resulted in costly repairs to our street lighting and traffic control system this year.  The most expensive being an accident at South Blvd. and Ridgeland Ave. which resulted in extensive damage to the traffic signals there.   Fortunately, there have been recovered damages from many of the accidents that will cover the increase of funds proposed for this agreement with Meade, Inc.

 

The Village has contracted with Meade, Inc. to provide repair and other services for many years.  They have always done an excellent job and are a great partner.

                     

Village staff is requesting the not to exceed amount of the agreement be increased from $25,000.00 to $39,000.00 to provide the necessary funds to pay for an outstanding invoice and provide extra funds for any possible future damage before the end of the fiscal year.

The Board can delay action to gain additional information.
