Regular Village Board meetings are typically held at 7:00 p.m., the first three Tuesdays of each month in Council Chambers of Village Hall (room 201), 123 Madison St. When a Regular Meeting falls on a holiday, the meeting typically is held the following night. The current PO with Allied Garage Door does not contain sufficient funds to complete an emergency repair needed at the Public Works Center.

Fiscal Impact
The Fiscal Year 2021 Public Works Operating Budget Village Hall Property Repair Account No. 1001-43790-711-540674 includes $57,000.00 for property repairs, $11,199.97 of which is unencumbered. Funds in that account would be used to cover the cost of the repairs needed at the Public Works Center.

Background
The Village entered into an Independent Contractor Agreement with Allied Garage Door in February of 2021 for $15,000.00 to provide maintenance and emergency repair services for overhead doors at Village-owned buildings. The Agreement was amended to $25,000.00 in April of 2021 due to unexpected repairs needed at the Public Works Center. Throughout 2021, costs for various repairs required at other locations, as well as the Public Works Center, have added up to $24,303.70 leaving $696.30 on the current PO.

One of the overhead speed doors at the Public Works Center recently became inoperable due to a broken motor gear and the cost to complete that repair is $1,461.55. The previously approved contract amount of $25,000.00 would be exceeded by $765.25. Staff is requesting that the Village Board approves a second amendment to the Agreement for an amount not to exceed $30,000.00.
